Health, Safety and Emergency Procedures

At Kaipātiki Project, the health and safety of our team members, volunteers, our partners and community participants is our top priority. When you register to attend an event, volunteer or work with us, you are agreeing to adhere to our Health and Safety Agreement.

Kaipātiki Project Health & Safety Agreement

I understand that there may be risks involved in the activities I will be undertaking. I also understand that an unpredictable or uncontrollable event may occur that could possibly cause me harm. I acknowledge that Kaipātiki Project will take all reasonably practicable steps to keep me safe while I am involved in these activities. However, I accept full responsibility for my own actions or inactions. To the fullest extent permitted by law, I hereby waive any rights I may have to take legal action against Kaipātiki Project, other participating organisations, sponsors (including the directors, officers, trustees and employees of all of the organisations listed above) and all other event participants, with respect to any personal injury or property damage whether arising from negligence or otherwise, as a result of participation in an event run by Kaipātiki Project. I understand that failure to comply with any of these conditions may result in the Event Facilitator requesting me to leave.

I agree to comply with the following terms that refer to my participation in all projects and activities:

  • I have notified the Event Facilitator of any relevant medical conditions and pre-existing injuries, and I consent to the Event Facilitator rendering or authorising such medical treatment as necessary and accept responsibility for all associated expenses.
  • I am a volunteer and not an employee of Kaipātiki Project.
  • I will not smoke, consume or store alcohol or illicit drugs while participating in any event or activity with Kaipātiki Project at any given site.
  • I will respect the rights, feelings and property of all others, including staff, associated with the event, and I will act in a way that aligns with this.
  • I will cooperate with, and follow the instructions of the Event Facilitator to ensure a safe, happy and hygienic team environment.
  • For promotional, reporting and social media purposes, Kaipātiki Project may take photos and videos at events. If you wish to opt-out and not have your photograph taken, please let us know.

Health & Safety Information

Safety First: It is the responsibility of each individual to ensure their own safety and wellbeing at all times. Please make sure that you only do activities within your personal ability. Event Facilitators have the authority to stop an individual from participating or ask them to leave if they are deemed unfit for the activity or pose a safety risk to the group. The event may also be called off if overall safety conditions are not met. All children must be accompanied by an adult and be actively supervised at all times.

Incident Reporting: All incidents, accidents or near misses—no matter how minor—must be reported to your Event Facilitator. This helps us maintain a safe environment for everyone.

First Aid Access: A first aid kit is always available—either on-site at our EcoHub next to TV or carried by your Event Facilitator when out and about. It is for group use when needed. A defibrillator is available outside of our EcoHub at the back door (on the covered deck area) for emergencies. Familiarise yourself with their location and how to use them.

Stay Hydrated: Always carry enough water and take regular breaks to stay hydrated.

Wear Appropriate Clothing: Dress in layers suitable for the weather, including sturdy covered footwear, long sleeves and pants to protect against insects and plants.

Sun Protection: Use sunscreen and wear a hat to protect against UV rays.

Domestic Dogs: Always avoid interaction with any domestic dogs during volunteering activities and events.

Site/Event Specific Health & Safety Plan: Familiarise yourself with the Health & Safety plan specific for the event and worksite you are on.

Emergency Plan: Familiarise yourself with the emergency evacuation plan and assembly points at the beginning of the event you attend.

IN THE CASE OF AN EMERGENCY, IMMEDIATELY NOTIFY THE KAIPĀTIKI PROJECT STAFF MEMBER MANAGING THE EVENT so that they can activate the appropriate emergency procedure.

Equipment and Tools

Proper Use: Use tools and equipment as instructed. Wear protective gear such as gloves, masks, safety glasses, waders, appropriate footwear and ear protection when necessary.

Maintenance: Ensure all equipment is in good working condition before use. Report any damaged or lost equipment immediately.

Environmental Care

Leave No Trace: Carry out all trash and leave the environment as you found it or better!!

Stay On Trails: Stick to designated paths or working site to minimise environmental impact and avoid getting lost.

Interacting With Wildlife: Prioritise the safety and wellbeing of all wildlife by avoiding any action that would harm or disrupt them, or that could lead to yourself being harmed.
